Purpose
The services provided by BL3 include accounting, taxation, and Self-Managed Superannuation Funds (SMSF). To provide these services BL3 may store, used, or disclose information. The purpose of this includes management and reporting requirements, invoicing, recruitment, and effective communications, as required by a regulatory body.
Note: access to information held at BL3 is restricted to authorised personnel only and is to be used for the purposes provided in this document.
Collection and Storage
BL3 collects and stores information from a range of entities including clients, businesses, and suppliers. This information is limited to what is necessary to fulfill engagement and/or legislative/regulatory requirements. Information includes name and address, personal details e.g., DOB & occupation, company or business structures, financial details, and other relevant information.
Method
Information is obtained directly from the entity at the request of a BL3 representative. The need for this information is supplied upon request and the entity has the right to refuse.
If required, BL3 may obtain information indirectly from a third party. This includes situations where the collection of information is necessary but cannot be obtained directly from the entity. The overarching principles for the collection of information indirectly include: lawful to do so; reasonable in the circumstances; and necessary to meet a legal/procedural requirement.
Storage
Information is kept in both cloud storage and server at BL3. Cloud storage is managed by an independent third-party provider with backup and remote access availability. Server storage is managed internally by BL3 with assistance from an independent third-party provider.
For security, BL3 adopts the security measures set by the Australian Cyber Security Centre (ACSC) and, industry best practices. These measures are part of the BL3 Risk Management and are the subject of regular review and audit including random audits.
Access
An entity has, at all times, specific rights to their information. This includes the right to:
• know and understand the information held by BL3;
• access this information;
• request the information to be corrected.
For access to information; the entity is to contact BL3 and make arrangements to speak with a Partner (see Company Details). Note: for security reasons, no information will be disclosed or corrected until the identity of the entity making the request is confirmed; and the disclosure/correction is authorised by a Partner.
Overseas
BL3 does provide services outside of Australia to international clients. As such, there may be a need to disclose information to recipients overseas. The areas most likely for this to occur are Asia/Pacific, Europe, and North America. BL3, at all times, complies with the provisions of this document, and governing legislation, for the stored, used, or disclosed information to an entity overseas.
Complaints
An entity has the right to make a complaint about the stored, used, or disclosed information by BL3. The process for complaints is to take the following stages:
1. complaint directly to BL3; then
2. referred to an external agency for dispute resolution; finally
3. complaint to the Office of the Australian Information Commissioner (OAIC).
All complaints are to be in writing and are to provide full details of the complaint including (where possible), times – dates – names – circumstances – consequences, etc.
